📚 Grammar & Rules / Grammatik

1. Phone Call Formulas

German phone calls follow fixed formulas: identify yourself with 'Hier ist...' or your surname, ask for someone with 'Kann ich bitte ... sprechen?', and end with 'Auf Wiederhören' (not 'Auf Wiedersehen').

When answering the phone in German, you typically say your surname: 'Schmidt.' or 'Hier ist Schmidt.' or for a company: 'Firma Müller, Schmidt am Apparat.' To ask for someone, say 'Kann ich bitte Herrn/Frau ... sprechen?' or 'Ich möchte gern mit Herrn/Frau ... sprechen.' When ending a phone call, always use 'Auf Wiederhören' (literally: until hearing again) — never 'Auf Wiedersehen', which is for face-to-face goodbyes.

SITUATIONPHRASE
Answering (private)Schmidt.
Answering (company)Firma Müller, Schmidt am Apparat.
Identifying yourselfHier ist Anna Schmidt.
Asking for someoneKann ich bitte Herrn Müller sprechen?
Putting on holdEinen Moment bitte, ich verbinde Sie.
Person unavailableHerr Müller ist leider nicht da.
Leaving a messageKann ich eine Nachricht hinterlassen?
Asking to call backKann er mich bitte zurückrufen?
Saying goodbyeAuf Wiederhören!
Guten Tag, hier ist Maria Klein. Kann ich bitte Frau Weber sprechen? — Good day, this is Maria Klein. May I please speak to Mrs. Weber?
💡 'Hier ist' is the standard way to identify yourself on the phone
Einen Moment bitte, ich verbinde Sie. — One moment please, I'll connect you.
💡 'verbinden' = to connect/transfer
Er ist gerade in einer Besprechung. Kann ich etwas ausrichten? — He is currently in a meeting. Can I pass on a message?
💡 'ausrichten' = to pass on (a message)
Vielen Dank für Ihren Anruf. Auf Wiederhören! — Thank you very much for your call. Goodbye!
💡 Auf Wiederhören — only on the phone
⚠️ Common Mistake: Never say 'Auf Wiedersehen' on the phone! 'Auf Wiedersehen' means 'until seeing again' — on the phone you cannot see each other, so use 'Auf Wiederhören' (until hearing again).
💡 Study Tip: Remember: sehen = to see (Wiedersehen = face-to-face), hören = to hear (Wiederhören = on the phone).

2. Formal Email Structure

A formal German email has five parts: Betreff (subject line), Anrede (salutation), Einleitung (opening), Hauptteil (body), and Grußformel (closing formula).

German formal emails follow a strict structure. The Betreff (subject) is a short summary. The Anrede (salutation) uses 'Sehr geehrter Herr ...' for men and 'Sehr geehrte Frau ...' for women; if you don't know the name, write 'Sehr geehrte Damen und Herren'. After the Anrede comes a comma, then the text starts with a lowercase letter on the next line. The email closes with 'Mit freundlichen Grüßen' (the standard formal closing), followed by your name on the next line.

TEILDEUTSCHENGLISH
BetreffBetreff: TerminbestätigungSubject: Appointment confirmation
Anrede (man)Sehr geehrter Herr Müller,Dear Mr. Müller,
Anrede (woman)Sehr geehrte Frau Schmidt,Dear Mrs. Schmidt,
Anrede (unknown)Sehr geehrte Damen und Herren,Dear Sir or Madam,
Einleitunghiermit möchte ich ...I would hereby like to ...
GrußformelMit freundlichen GrüßenWith kind regards
NameAnna Weber(your name)
Sehr geehrte Frau Braun, hiermit bestätige ich unseren Termin am Montag. — Dear Mrs. Braun, I hereby confirm our appointment on Monday.
💡 After the comma in the Anrede, the next word is lowercase
Mit freundlichen Grüßen Thomas Fischer — With kind regards Thomas Fischer
💡 No comma after 'Mit freundlichen Grüßen'
Sehr geehrte Damen und Herren, ich schreibe Ihnen bezüglich Ihrer Stellenanzeige. — Dear Sir or Madam, I am writing to you regarding your job advertisement.
💡 Use 'Damen und Herren' when you don't know the recipient's name
⚠️ Common Mistake: After 'Sehr geehrter Herr Müller,' the next line starts with a LOWERCASE letter (unless it's a noun or 'Ich'). Example: '...Müller,\nich möchte...' — NOT '...Müller,\nIch möchte...' Wait — actually 'ich' is lowercase anyway. The key rule: the comma means the sentence continues, so no capital unless grammar requires it.
💡 Study Tip: Think of 'Sehr geehrte/r' as 'very honored' — it's the standard formal opening. 'Liebe/r' (dear) is for people you know personally or semi-formal situations.

3. Formal vs. Informal Register

German has distinct formal (Sie) and informal (du) registers that affect pronouns, verb forms, greetings, and closings in both speaking and writing.

In professional contexts — phone calls with clients, emails to companies, letters to authorities — always use Sie (formal you). With colleagues you know well, friends, and family, use du. The register affects everything: greetings (Sehr geehrte/r vs. Liebe/r), closings (Mit freundlichen Grüßen vs. Liebe Grüße), and the overall tone. When in doubt, use Sie — the other person will suggest 'du' if appropriate.

ASPECTFORMALINFORMAL
Greeting (written)Sehr geehrte/r ...Liebe/r ... / Hallo ...
Greeting (phone)Guten Tag, hier ist ...Hallo, hier ist ...
Closing (written)Mit freundlichen GrüßenLiebe Grüße / Viele Grüße
Closing (phone)Auf WiederhörenTschüss / Bis bald
PronounSie (always capitalized)du (lowercase in text)
RequestKönnten Sie bitte ...?Kannst du ...?
Thank youIch danke Ihnen.Danke dir!
Könnten Sie mir bitte die Unterlagen schicken? — Could you please send me the documents?
💡 Formal: Könnten Sie (could you — polite)
Kannst du mir die Unterlagen schicken? — Can you send me the documents?
💡 Informal: Kannst du (can you — casual)
Ich würde mich über eine Antwort freuen. — I would be glad to receive a reply.
💡 Formal written style — Konjunktiv II for politeness
Schreib mir einfach zurück! — Just write me back!
💡 Informal imperative — casual tone
⚠️ Common Mistake: Mixing registers is a common mistake! Don't write 'Sehr geehrter Herr Müller' and then use 'du' in the email body. Keep the register consistent throughout.
💡 Study Tip: When you're unsure: start formal (Sie). If the other person writes 'du' back, you can switch. In Germany, the older or higher-ranking person typically offers the 'du'.

4. Useful Connectors for Formal Writing

Formal German uses specific connectors and fixed phrases: 'bezüglich' (regarding), 'hiermit' (hereby), 'anbei' (attached/enclosed), 'betreffend' (concerning).

Formal emails and letters use set expressions that differ from everyday speech. 'Hiermit' (hereby) opens many formal sentences: 'Hiermit bewerbe ich mich...' (I hereby apply...). 'Bezüglich' (regarding) + genitive introduces a topic: 'Bezüglich Ihrer Anfrage...' (Regarding your inquiry...). 'Anbei' (attached/enclosed) introduces attachments: 'Anbei finden Sie...' (Please find attached...). These are rarely used in informal writing.

anbeiattached/enclosedAnbei finden Sie meinen Lebenslauf.
betreffend (+ Akk.)concerningBetreffend Ihre Bestellung...
im Vorausin advanceVielen Dank im Voraus.
baldmöglichstas soon as possibleBitte antworten Sie baldmöglichst.
Hiermit möchte ich mich für den Kurs anmelden. — I would hereby like to register for the course.
💡 'hiermit' = hereby — very common in formal emails
Anbei sende ich Ihnen die gewünschten Unterlagen. — Please find attached the requested documents.
💡 'anbei' = attached/enclosed
Bezüglich unseres Telefonats möchte ich Folgendes bestätigen. — Regarding our phone call, I would like to confirm the following.
💡 'bezüglich' + genitive = regarding
Vielen Dank im Voraus für Ihre Hilfe. — Thank you very much in advance for your help.
💡 'im Voraus' = in advance — polite closing line
⚠️ Common Mistake: Don't use 'anbei' or 'hiermit' in casual messages to friends — it sounds bureaucratic and stiff. Save these for formal correspondence.
💡 Study Tip: Memorize these three openers for formal emails: 'Hiermit möchte ich...' (I hereby want to...), 'Bezüglich...' (Regarding...), 'Anbei finden Sie...' (Please find attached...).
